As our Receptionist, you will play a key role in creating a positive and welcoming experience for patients. From managing appointments to handling enquiries, you’ll ensure that everyone who walks through our doors—or contacts us by phone—feels cared for and well-informed. 🧑⚕️📞
You’ll work as part of a collaborative reception and administrative team that is vital to the success of our practice. This role is ideal for someone who is polite, dependable, tech-savvy, and enjoys working with people.
💡 Key Responsibilities
📅 Front Desk Duties
- Greet and assist patients courteously, whether in-person or over the phone
- Direct patients to the appropriate healthcare professional or service
- Provide general information and help new patients register smoothly
- Maintain a positive and professional image of the practice at all times
📞 Handling Enquiries & Communication
- Answer incoming phone calls and direct them appropriately
- Provide accurate information to patients about appointments, services, and repeat prescriptions
- Ensure messages are passed on correctly and promptly to the relevant team member
- Maintain effective and respectful communication with patients, carers, and colleagues 💬
🗂️ Administrative Tasks
- Develop a thorough understanding of all practice procedures and protocols
- File documents, manage medical records, and assist with post distribution
- Photocopy, fax, and scan documents as required
- Process address changes, repeat prescription requests, and other patient updates
🖥️ Appointment Booking & Systems
- Book, reschedule, and cancel appointments in person or by telephone
- Manage same-day appointment requests and home visit requests in accordance with practice procedures
- Support patient registration and maintain accurate data entry in clinical systems
- Use IT systems confidently and accurately to input patient information 📋
🔐 Confidentiality & Patient Privacy
You’ll be entrusted with sensitive patient information, and it’s crucial that confidentiality and discretion are maintained at all times. 🛡️

- Handle all data and conversations with the utmost respect and professionalism
- Follow our policies on data protection and information security
- Share information only with authorised individuals and as permitted by practice guidelines
🛑 Health & Safety Responsibilities
Maintaining a safe and clean environment is a shared responsibility. As a Receptionist, you’ll:
