🧾 About the Role

As a Clerical Support Officer, you will play a central role in the smooth running of departmental operations. From handling day-to-day clerical tasks to supporting meetings and managing communication between teams, you’ll be the person everyone turns to for efficiency, accuracy, and timely assistance. 🖇️💬

Your role will span across multiple responsibilities, including document handling, correspondence, scheduling, data input, and more. You’ll liaise with a wide range of professionals, service users, and external organisations — so clear communication and excellent interpersonal skills are a must! 💼🤝

💡 Key Responsibilities

✉️ Office & Clerical Support

  • Provide general clerical support including filing, sorting, photocopying, and distributing information via post or email
  • Handle both incoming and outgoing correspondence, ensuring information is processed promptly
  • Type letters and documents, ensuring accuracy and clarity in written communication
  • Manage internal systems including databases and spreadsheets for recording information and generating reports 📊
  • Provide ad hoc administrative assistance as needed to ensure the smooth daily running of the department

📞 Communications & Enquiries

  • Act as a key point of contact, handling verbal and written enquiries from staff, service users, external organisations, and the public
  • Relay messages clearly and respond with accurate information or direct queries to the appropriate staff member
  • Support the wider team by communicating efficiently and professionally at all times

🗓️ Meetings & Scheduling

  • Organise and support meetings, including checking access arrangements, booking venues and refreshments, and arranging interpreters where required
  • Prepare agendas, circulate documents, take minutes, and ensure timely distribution following approval
  • Welcome meeting participants and ensure everything runs smoothly on the day
  • Manage diaries and appointments for the Head of Service and management team 🗒️

🖥️ Data, Systems & Reports

  • Maintain the departmental website on the Trust’s intranet – training provided!
  • Use internal databases to record information and create reports
  • Help produce professional documents and communications for internal and external distribution

🛍️ Supplies & Inventory

  • Monitor and maintain stock levels of stationery and office supplies
  • Reorder items as necessary to ensure uninterrupted office operations
  • Handle non-stock and special item orders as required

🧠 Mental & Physical Aspects of the Role

This role requires keen concentration and the ability to handle multiple tasks at once. Whether you’re switching between calls, emails, or administrative tasks, your ability to stay focused will be essential.

You’ll spend most of your time working at a computer, but there will be occasions where you need to lift and move items like stationery boxes or files. 📦🖨️

🧩 Experience & Qualifications

✔️ Experience managing calendars or supporting senior staff
✔️ Comfortable taking minutes and producing professional documents
